AUP Reporting Enhancements for Undifferentiated Personal Names

NACO recently announced that "undifferentiated" personal name headings (where one authority record represents more than one entity) could no longer be created or used. Instead, NACO libraries are instructed to create new authority records for each of these "identities", as needed, with a unique form of heading.

At the request of client libraries, LTI has enhanced reporting to assist libraries in doing bibliographic maintenance for this category of personal names. Note that bibliographic records in which a name heading has been revised locally will need to be re-sent to LTI, either in an AEX file or as part of a new base bibliographic file, so that the library's history file for AUP will reflect the update.

Enhancements to the AUP ".LSA" report file, effective with the 1st quarter 2014 run:

1) When an authority record has a 667 field that contains the character sequence "undif", the content of the 667 field is included in the report entry. Usually, this note looks like this: "667: -$aFormerly on undifferentiated record: [record number]"

Examples:
+New Auth Rec link to LCSH bib heading
new: 100 1 $aGuo, Yuxin
001: n 2013062194 -- 005: 131021
667: $aFormerly on undifferentiated record: n 83047695

*m Revised 1xx in Auth Rec linked to name/title & LCSH bib heading
old: 100 1 $aDavis, Charles,$d1923-
new: 100 1 $aDavis, Charles,$d1923-1999
001: n 50035516 -- 005: 131213
667: $aAs author of Body as spirit, formerly on undifferentiated name record: n 84228348.

2) Authority records which have "b" in byte offset 32 of the 008 field have the following line added to the report entry: "008: record marked as an undifferentiated personal name". These are most commonly in the "-Delete by LC of Auth Rec" section of the report but can appear elsewhere.

Examples:
-Delete by LC of Auth Rec prev. linked to name/title bib heading
old: 100 1 $aRice, Elizabeth
001: n 50044880
008: record marked as an undifferentiated personal name

+New Auth Rec link to name/title bib heading
new: 100 1 $aMather, Tom
001: n 2014016337 -- 005: 140327
008: record marked as an undifferentiated personal name

*m Revised 1xx in Auth Rec linked to name/title bib heading
old: 100 1 $aYi, Chong-t°ae
new: 100 1 $aYi, Chong-t'ae
001: nr 94012108 -- 005: 131211
008: record marked as an undifferentiated personal name

3) A new section has been added at the end of the report where the entries are labeled "*u 1xx same, date/content change" and include the note "008: record marked as an undifferentiated personal name". This section includes records extracted for the library where the 1XX form has not changed but something else has changed and where the record is marked as undifferentiated in the 008 field. Most commonly, the modification is the removal of the note(s) related to a heading that now has been differentiated.

Examples:
*u 1xx same, date/content change linked to name/title bib heading
old: 100 1 $aHowell, Peter
new: 100 1 $aHowell, Peter
001: nr2005021673 -- 005: 140205

new: 100 1 $aHart, Simon
001: nr2007008854 -- 005: 140329
008: record marked as an undifferentiated personal name
667: $aLast identity on undifferentiated record; reported for deletion. New record required
