AUP PROCESSING NOTES: 1st Quarter 2014

1) RDA practice calls for fictitious characters to be established as names rather than subjects. New LC/PCC headings for fictitious characters are being established in the Name Authority File and those formerly established as subjects are being converted to names as needed. LTI has converted all of its internal fictitious character headings from subject to name form. Examples: 100 1 $aAmato, Tito $c(Fictitious character); 100 1 $aBattle, $cInspector (Fictitious character). The only fictitious characters still in AACR2 form are those still represented by an LC authority record.

2) LTI is working towards treating all $c fields according to RDA rules. As above, the main exceptions are AACR2 headings established by LC that have not yet been updated.

3) LTI is also working towards treating all $s fields according to RDA rules. In most cases, the content of $s is enclosed in parentheses. The major exceptions to this are in headings for sacred works and numbered editions, and when $s follows $f.

4) Following on a recent JSC-RDA decision, the headings for places in Malaysia now include the qualifier Malaysia.

5) In response to LC's instruction to cease using and creating authority records for "undifferentiated" personal names, a number of enhancements have been made to the AUP ".LSA" report file:

a) When an authority record has a 667 field that contains the character sequence "undif", the content of the 667 field is included in the report entry. Usually, this note looks like this: "667: -$aFormerly on undifferentiated record: [record number]"

b) Authority records which have "b" in byte offset 32 of the 008 field have the following line added to the report entry: "008: record marked as an undifferentiated personal name".

These are most commonly in the "-Delete by LC of Auth Rec" section of the report but can appear elsewhere.

c) A new section has been added at the end of the report where the entries are labeled "*u 1xx same, date/content change" and include the note "008: record marked as an undifferentiated personal name".

This section includes records extracted for the library where the 1XX form has not changed but something else has changed and where the record is marked as undifferentiated in the 008 field. Most commonly, the modification is the removal of the note(s) related to a heading that now has been differentiated.
